General conditions for GEA College premises rental
1 DURATION AND SCOPE OF RENTAL
The premises can be rented from 8 a.m. to 10 p.m.
The rent includes the preparation of the lecture room and the use of inner technical equipment.
The duration of rental is negotiated between the tenant and the GEA College in written form (also by e-mail).
The rental starts when the user is actually given access to the lecture room (for example for preparation) and lasts until the last person leaves. If the lecture room is actually used longer as it was previously negotiated, the rent can be increased accordingly. The beginning of each new hour is considered as a full hour.
2 SCOPE OF THE EVENT ACCORDING TO THE NUMBER OF PARTICIPANTS
The capacity of the lecture rooms is given in the Table with prices. Lecture rooms can welcome up to 70 people, or 100 together with the lobby. The tenant must consider the capacity of the premises before organising the event as the capacity must not be exceeded.
3 EQUIPMENT AND SERVICES
The price includes:
- preparation of the lecture room
• availability and use of technical equipment:*
• computer
• ceiling projector and wall screen for projections
• microphones: handheld, tabletop, headset and lavalier, laser pointer
• WI-FI internet access
• use of the water cooler in the lobby
• basic final cleaning**
* If technical support is required, it should be negotiated beforehand.
** Cleaning during the event is not envisaged.
Potential additional preparation of the lecture room is negotiated between the tenant and the GEA College at least one day before the event. After that the GEA College does not take responsibility for the preparation of the lecture room. If the layout requires renting equipment that cannot be provided by the GEA College, the tenant must first consult the lessor and acquire his consent.
The equipment for carrying out the event must comply with the house rules of the school. The tenant is responsible for the technical equipment throughout the duration of the rental. If the equipment is damaged or stolen, the GEA College holds the right to charge the tenant for repair costs or for buying new equipment that has been damaged or for restoration to the original state.
4 INSURANCE
The tenant is obliged to provide insurance for the event. He must ensure the implementation of measures which ensure safety at work for all organisers and participants in setting up and organising the event. The tenant must also provide insurance for any type of accident or injury. He is also liable to payment of compensation. The tenant must provide appropriate protection of the technical equipment required at the event.
5 LIABILITY FOR DAMAGE
The tenant is obliged to compensate for the damage to the rented premises or surfaces, other premises and equipment of the GEA College and the appertaining land, which was caused by the tenant or during his event. The restoration of damage is organised by the GEA College. The tenant also takes responsibility for the damage inflicted to the participants during the event.
6 VALIDITY OF PRICES
All prices are valid for orders made at least 5 days before the event. The rent includes the use of inner technical equipment and the preparation of the lecture room. If additional and more thorough cleaning is required after the event, this shall be charged to the tenant according to the price list of the cleaning company.
7 PERIOD OF NOTICE AND PAYMENT OBLIGATION
Tenants can cancel the lecture room rental free of charge up to 5 workdays before the event. If the rental is cancelled three workdays or less before the event, GEA College will charge handling costs of 30 % of the rental price given in the price quote or the pro forma invoice.
8 TERMS OF PAYMENT
– for budget users: 30 days after the service provided
– for all other tenants: 8 days after the service provided
GEA College holds the right to rent the premises only on the basis of a pre-paid pro forma invoice.
9 COMPLAINTS
Complaints are accepted in written form only. The deadline for filing complaints is 8 days after the service provided (rent).
The price list and general conditions are valid from 1 December 2015 onwards.
